Recording & Transcription Consent

Please read this document carefully before participating in coaching services through Thorns2Roses Coaching.

1. Purpose of Recording & Transcription

Thorns2Roses Coaching may use recording and transcription tools to support coaching documentation, note-taking, reflection, continuity between sessions, session recall, and coaching quality and organization.

Recordings and transcripts are intended to support the coaching process and administrative workflow.

2. Third-Party Platforms

Recording and transcription services may involve third-party platforms including but not limited to Upheal, Google Meet, and Google Workspace services.

Clients understand that these systems involve electronic communication and digital data storage.

3. Privacy & Security

Reasonable efforts will be made to protect privacy and confidentiality.

However, clients acknowledge that no electronic system can guarantee absolute security, internet-based communication carries inherent risks, and third-party systems may have their own privacy policies and security practices.

Clients are encouraged to review the privacy policies of third-party platforms when appropriate.

4. Client Consent

Participation in coaching may involve audio recording, automated transcription, coaching notes, and AI-assisted transcription or documentation tools.

Clients may ask questions about recording and transcription practices before participating in sessions.

5. Optional Discussion of Concerns

Clients who have concerns regarding recording or transcription may discuss those concerns before participating in coaching services.

Certain services or workflows may be limited if recording or transcription consent is declined.

6. No Public Release

Session recordings and transcripts are not intended for public release, publication, marketing, or distribution without additional written permission from the client.

7. Limitations

Recording and transcription tools may occasionally contain inaccuracies, missed wording, incomplete transcription, or technical interruptions.

Clients understand these systems are support tools and may not perfectly reflect conversations.

8. Client Responsibility

Clients remain responsible for protecting their own device privacy, securing their email access, using private environments when appropriate, and managing access to their own communication devices and accounts.

9. Acknowledgment

By signing or electronically acknowledging this document, the client confirms that they have read and understood this consent, understand sessions may involve recording or transcription, understand electronic systems carry inherent privacy risks, and voluntarily consent to participation under these terms.
